GENERAL PURPOSE AND SCOPE: The Order Management Specialist (OMS) plays a significant role in ensuring purchase order material needs meet required production schedule dates while maintaining a high level of professionalism. Transactions are generally routine, variable dollar value, low-high risk, and standard complexity with high volume. Responsible for the timely delivery of goods and components. Position will improve communication and resolve supplier delays or early arrivals which cause significant production delays resulting in increased cost.
AUTHORITIES/RESPONSIBILITIES:
- Expedites or de-expedites material purchases with suppliers. These material purchases must meet delivery dates per the production schedule as dictated by the purchase contract.
- Follows an order management procedure inclusive of root cause analysis, escalation/de-escalation process, a recovery plan involving decision makers that might include incentivizing suppliers, and finding alternative sources of supply.
- Understands, analyzes, documents and communicates contractual requirements to suppliers.
- Follows the progress of manufacturing at the supplier concerning conformity with standards and set timelines.
- Ensure that delivery information is updated timely in Austal’s Enterprise Resource Planning (ERP) computer system, i.e. IFS
- Coordinates with suppliers on the purchase order delivery dates.
- Drives suppliers to meet constraint dates. Updates milestone delivery information in IFS.
- Captures in detail supplier updates regarding constrained material that is unable to make delivery dates.
- Resolves discrepancies (dates, quantities, descriptions) on receipts with logistics warehouse, suppliers and buyers.
- Liaisons with suppliers and internal customers (Logistics, Accounting, Engineering and Production) communicating the status of material.
- Coordinates with buyer and material program management groups on changes to milestone dates.
- Informs management and internal customers of issues, documents in detail and follows through to resolution.
- Any other purchasing duties as required or directed.
QUALIFICATIONS/KNOWLEDGE/EXPERIENCE:
- Two (2) years of purchasing and negotiation or supply chain management experience or
Bachelor’s degree in Business, Materials Management, SCM or Logistics preferred.
- Successfully complete applicable Austal Buyer I Certification courses within 90 days of employment.
- Incumbent individuals are required to complete the entire catalog of courses to be eligible for promotion to the corresponding levels.
- Excellent time management skills as evidenced by the ability to adhere to deadlines while managing multiple priorities.
- High level of computer proficiency with basic to intermediate level skills in Microsoft Office (Word, Excel, Outlook, Power Point) and Internet Explorer required. Access skills preferred.
- Good communication skills with ability to be resourceful and work independently.
- Strong analytical skills.

- Ability to maintain confidential information.
- Ability to recognize critical situations and take immediate, appropriate action.

DISCRETION EXERCISED: Works within established guidelines and policies set forth by manager/supervisor/lead.
LIAISES WITH: Internal to Austal: Tactical Buyers, Strategic Sourcing Professionals, Sr. Procurement Manager, Vice President SCM, Director of Supplier Management, Materials Program Managers, material program staff, Senior Logistics Manager, Compliance Coordinator (SCM), and document control. External: Suppliers.
MACHINES AND EQUIPMENT INVOLVED
• Basic office machines including but not limited to personal computer, copier/scanner, telephone, etc.
HOURS OF WORK
• 40 hours per week with additional time as required or necessary.
ADDITIONAL GUIDELINES:
- The ability to obtain and maintain a Department of Defense (DOD) clearance may be required if deemed necessary in the scope of position responsibilities.

While performing the duties of this job, the employee may be exposed to humid conditions, bright flashing lights, moving mechanical parts, high precarious places, outside weather conditions, and extreme heat. The noise level in the work environment is usually very loud (+ 90 dB).
